WhatsApp export chat not working or missing? How to fix it
No Export chat option, an export that stops halfway, or a file too big to email? The usual causes, from Restricted chat to a work phone, and how to fix each.
· 8 min read
When Export chat is missing or the export fails, the cause is usually one of a few things. The chat may have Restricted chat or the older Advanced chat privacy turned on. You may be looking in the wrong menu. Or the export is too big for your phone's free space or for email. The checklist below matches what you see to the likely cause.
Checklist: what you see and what to try
| What you see | Likely cause | What to try |
|---|---|---|
| Export chat is missing in one chat only | Restricted chat or Advanced chat privacy is on | Ask the other person, or a group admin, to turn it off |
| You can't find Export chat anywhere | It sits one menu down | Android: ⋮ then More. iPhone and Mac: tap the chat name. Web and Windows: the chat menu |
| The menu doesn't match a guide | A different version of WhatsApp | Update WhatsApp |
| The export stops, or the share sheet never opens | A very large export, or a full phone | Export without media, or free up space |
| The share sheet closed and there is no file | The file only exists where you send it | Export again and choose Save to Files or Drive |
| The email won't send | The attachment is over the size limit | Save the file to Files or Drive instead |
| Saving or sharing is blocked on a work phone | Your employer's device rules | Ask your IT team |
| A computer export has no voice messages | WhatsApp Web exports never include media | Export on your phone, with media |
| The export works, but messages are missing | Size limits, a date range, disappearing or view once messages | See the last section below |
Missing in one chat: Restricted chat is on
WhatsApp introduced Advanced chat privacy in April 2025. It blocks others from exporting the chat, from saving its media to their phone automatically, and from using its messages for AI features. WhatsApp's help pages say that on the latest version it is being replaced by Restricted chat. That does the same and also blocks linked devices, such as WhatsApp on a computer, for that chat.
With Restricted chat on, the help pages say people in the chat can't export it. So if your other chats export and this one doesn't, check this setting first.
Who can turn it off, according to WhatsApp's help pages:
- One-to-one chat: either person. Open the chat, tap the contact's name, tap Restricted chat and turn it off. In a chat that still uses the older setting, the option is called Advanced chat privacy.
- Group: admins only. The setting applies to every member, and only group admins can change it. If you are not an admin, ask one.
- Main phone only. The setting can only be turned on or off on your primary device, not on a linked device.
If the other person turned it on, they wanted the chat kept inside WhatsApp. Ask them before you change it, and explain why you need a copy.
A made-up example: Femi wants to export his five-a-side football group to settle who paid for the pitch in spring, but Export chat isn't there. Joel, an admin, had turned on Advanced chat privacy after a stranger joined. Joel turns it off for an evening, Femi exports, and Joel turns it back on.
You can't find Export chat anywhere
- On a computer, the app matters. The Mac app exports like an iPhone, media included. On WhatsApp Web or the Windows app, open the chat menu, click Export chat, choose All messages or Custom date range, then click Export. WhatsApp's help pages say those exports have no media, so no voice messages either.
- Look one level down. On Android, open the chat, tap the three dots at the top right, then More, then Export chat. On iPhone, open the chat, tap the contact or group name at the top, and scroll down to Export chat.
- Update WhatsApp. Menus change between versions. WhatsApp's help pages now show three iPhone choices, With all media, With selected media… and Without media, where older versions said Attach Media. Restricted chat also needs the latest version. If what you see doesn't match a guide, update first, then look again.
On a work phone
If your employer manages the phone, its rules can stop files from leaving work apps. That applies to a company phone, and to WhatsApp installed inside a work profile on Android. You may see only a few apps in the share sheet, or the save may fail. Only your IT team can change those rules. If you need the chat because of a problem at work, ask them which route they allow, and note the date you asked. WhatsApp messages from a manager covers what helps once you have the export.
The export starts, then fails
A chat of several years can carry thousands of photos, videos and voice messages. With media, all of that has to go into the export. If the export stops, hangs or never opens the share sheet, try these steps in order.
- Export without media first. You get the text in a small file. If your phone is the problem, WhatsApp Web can export the text instead.
- Free up space. In WhatsApp, go to Settings > Storage and data > Manage storage. It lists large items and lets you delete them chat by chat. Delete from other chats, not the one you are exporting, or those files will be missing from the export too.
- Stay with it. Keep the screen on and WhatsApp open until the share sheet appears.
- Export twice if you need both. Do one export without media for the text, and one with media for the recent voice messages.
The share sheet closed, or the email bounced
On Android, WhatsApp only creates the file where you send it. If the share sheet closes before you pick something, or the app you picked fails, there is no file to find. Export again. If you are not sure whether an earlier export went somewhere, see where your WhatsApp export is saved.
Email is behind many failed exports, because an export with media can be far bigger than an email allows. The limits depend on your email service:
| Attachment limit | |
|---|---|
| Personal Gmail | 25 MB. Google's help pages say bigger files are added as a Google Drive link instead |
| Work or school Gmail | Set by your organization's administrator |
| Mail on iPhone | Mail Drop takes attachments up to 5 GB, according to Apple |
The easier route is to skip email. Tap Save to Files on iPhone, or pick Drive or your file manager on Android.
The export works, but something is missing
- Older messages. If the export starts partway through the chat, it may have hit a size limit. Older versions of WhatsApp's help pages gave limits of 10,000 recent messages with media and 40,000 without. The current Android page says only that, with media, the most recent media is attached. On WhatsApp Web, check that you chose All messages, not a custom date range. What fits in a WhatsApp export explains how to get more of a long chat.
- Disappearing messages. Messages that already disappeared, after 24 hours, 7 days or 90 days, are not in the export. WhatsApp's help page for Web also says disappearing messages won't be exported from there.
- View once photos and videos. WhatsApp's help pages say view once messages are not exported, on iPhone or on WhatsApp Web.
- Voice messages show as “audio omitted” or
<Media omitted>. The chat was exported without media, or on WhatsApp Web. Export again on your phone with media to get the audio files. - The export won't load back into WhatsApp. It can't. WhatsApp's help pages say an export can't be re-imported, because it is a text file, not a backup. To move chats to a new phone, use a chat backup or a transfer instead.
Once the export works
Open the .zip or .txt on the upload page, in the browser on your phone or a computer. For voice messages, use an export from your phone with media. LogMyChat shows a free overview without uploading anything: who writes, how much, activity by month, how many voice messages there are and their minutes, one voice message transcribed free, and the exact price.
One payment for that chat unlocks the rest. Every voice message is transcribed in the language spoken, under the date and time it was sent. Every message gets a number like M000412 with its date and time. WhatsApp voice messages to text shows what that looks like. In LogMyChat, the photos, videos and documents in the export never leave your phone.
Common questions
Can I export a chat if the other person turned on Restricted chat?
In a one-to-one chat, either person can turn the setting off and then export. Ask first: they turned it on to keep the chat inside WhatsApp. In a group, only an admin can change it.
Can I export a chat from WhatsApp Web?
Yes, and from the Windows app too. You get a .zip with the messages but no media, so no voice messages. For voice messages, export on your phone or the Mac app with media.
Why does my export start partway through the chat?
Probably a size limit, or a custom date range on WhatsApp Web. An export without media is smaller, so try one for the older text. Messages that disappeared before you exported are gone either way.
